Minutes: BOD (Board of Directors) meeting December 31 2008 (Wednesday)

The meeting was called to order by President Steakley at 1103.

Present: Shipmates Steakley, Simms, Reid, Brady, Hazlewood, Moore, Alvarado,
Gracy and Canteen Manager Moran. Also present were Ladies Gracy, Rogers and
Steakley.

Discussion:

1.        Fire insurance (P6617.00) to be paid next Saturday when Shipmates Brady
and Steakley visit Angeles City.
2.        Liability insurance is due Feb 2009. Shipmate Steakley to discuss
accidental death and injury and group accidental benefit insurance with insurer
Buddy McGuire on next Saturday’s visit (see above). Believe cost is about P1500
for six employees. Does canteen pay half? Secretary to check previous minutes
to see what we decided on.
3.        FRAlics 2009 to be held on April 3, 4, 5, the week before Easter (April 12,
2009).
a.        Golf tournament on Friday, April 3, 2009.
b.        FRAlics 2009 “Dear Shipmate” letters completed but need mailed out.
Treasurer will to add more money to the FRA’s RAO stamp fund next week. To
sponsor an event is $30.00 (vice $40.00 last year).
c.        We need to do a better job of selling raffle tickets this year. Will order 400
books and sell at P200 per book.
4.        FRA officer’s nomination in March 2009, with election in April and
installation in May. We need shipmates to step forward for president and vice-
president. Believe treasurer and secretary will be covered.
5.        LAFRA ballroom dancing at the branch home on December 13, 2008 was a
success—good attendance! Proceeds go to Youth Activities to benefit local
children in need.
6.        Malnourished children of San Antonio Christmas party complete with Santa
Claus, his elves, food, fruit, ice cream and candy held on December 20, 2008,
with over 400 children attending. Left-over fruit and candy were donated to
Barangay Pundakit. Shipmate Brady donated three boxes of fruit and shipmate
Moore donated four boxes of fruit; LAFRA provided food and drink and the
elves, associate member Dutchie once again did a wonderful job as Santa Claus
this year.
7.        Motion Moore, second Reid to provide P1000 to the president for the
President’s Contingency Fund. Approved to put to a vote at the GMM January 2,
2009.
8.        Motion Steakley, second Moore to pay P1000 for an FRA367 logo on the
VFW11447’s Beach Bash 2009 shirts. Approved to put to a vote at the GMM
January 2, 2009.
9.        Motion Simms, second Hazlewood to sponsor an FRA367 Curry Cook-off
team for RSL Angeles City’s Australia Day curry cook-off on January 26, 2009 for
P3500. Approved to put to a vote at the GMM January 2, 2009.
10.        Motion Steakley, second Moore to Back shipmate Blackburn (current
NVP) as FRA National President. Approved to put to a vote at the GMM January 2,
2009.
11.        Wall ads: secretary to draft a renewal letter and a new customer
solicitation letter to keep our wall ads complete for 2009. We need the wall ads
completed before the FRAlics 2009. Note: letters completed and given to Tom
Mishenko Jan 14, 2009.
12.        New business licensing and associated staff compensation changes take
effect January 1, 2009.
13.        Property tax is due in January 2009. Amount paid will be deducted from
February’s rent.
14.        Mayor’s permit: under our new business licensing, the Mayor’s permit
will now cost us something. More info to follow.
15.        Missing Scholars’ money from 2006: hope to get update on this today
from former vice-mayor Butch Echivere. ** Note: P8100 recovered out of the
initial P13,125 on January 2, 2009 by LAFRA president Lady Gracy. The balance of
the non-returned money was used to pay tuition for nine of the original 25
students. Should we continue with high school students or change our program
to sponsor elementary students?  The consensus seems to be to sponsor
elementary school students.
16.        FRA367-spnsored Camile Flaviano (12yo) won the Ladies Dart tournament
held in Dagupan, Pangisinan. Way to go Camile! Canteen to provide Camile with
an FRA367 dart shirt.
17.        Discussion on sponsoring more youth sports activities.
18.        VFW11447 Beach Bash: FRA and LAFRA367 will have a vender tent to sell
food and FRA367 logo items. We think our corn dogs will be a hit.
19.        Secretary to prompt national again on removing the shipmates from the
alfa roster who have joined the staff of the supreme commander.
20.        LAFRA Unit 367 working on establishing their own US$ bank account.
Account will remain under FRA treasurer’s control.
21.        LAFRA emergency meeting held past Sunday to discuss on-going kitchen
challenges. Need to tweak the menu and openly accept customer input.
22.        San Antonio Mayor’s New Year’s Day Ball: secretary to attend.
23.        Shipmate treasurer Moore donated a P1500 motion detector for the
branch home. Thanks John!
24.        Discussion on the Quarterdeck (new business name) deli.
25.        From last month’s BOD minutes (to keep FRAlics notes in the minutes):
FRALICs 2009 discussion. Tentative dates are April 3,4,5, 2009. Raffle ticket sales
were dismal last year; we need to a better job selling them this year. Discussed
dropping the price to P150 from P200 to encourage more folks to purchase our
raffle tickets.
Discussed the following events:
a.        Chili cook-off: (John Kelly tentatively to head)
b.        Beauty contest: hopefully Carmen Hendricks and Nancy Mallari to head.
Would be nice to have some locally-sponsored local girls in next year’s event.
c.        Darts: Jemma Tubat to head (Ms Tubat ran last year’s FRALICs dart
tourney—best ever!). Discussed doing two dart tournaments: one open for
everyone and one under Barretto dart league rules (ex-pats and women only).
Former Vice Mayor Butch Echivere may help with the open tourney.
d.        Pool
e.        Horse shoes
f.        Raffle tickets: need to take a round turn on raffle tickets to sell more than
we did last year. Would be nice to sell 400 books.
g.        Tents: will borrow from VFW11447 and look for sponsors to provide
26.         Secretary drafted a letter to the Bermond’s Security Agency requesting
reimbursement for the theft and unauthorized long-distance phone calls while
Bermond’s Security guards had had the watch. Total reimbursement requested
was P4230.
27.        Secretary drafted 30 letters to all wall ad sponsors to allow them a
chance to renew their ad or we paint it over and offer to someone else.
