Minutes: BOD (Board of Directors) meeting March 4 2009 (Wednesday).

The meeting was called to order by President Steakley at 1105.

Present: Shipmates Reid, Alvarez, Alvarado, Steakley, Phillips, Moore, Hazlewood,
Brady; Ladies Gracey, Steakley and Moore; and Canteen Manager Moran.

Discussion:

1.        FRAlics 2009
a.        Raised $660.00 from overseas shipmates thus far—far better than last year.
Thanks shipmates! Thank-you letters to go out after FRAlics2009. P1500 from local
shipmates so far.
b.        Local  sponsor request letters need distributed. Need volunteers to hit the
streets; local sponsor letters are ready to be distributed. Koeppen to take care of
Vasco’s and Simms to hit Sit ‘n Bull and possibly local Pundakit resorts.
c.        LAFRA to sell LAFRA shirts and prepared food.
d.        Shirts: 150 shirts have been ordered (*Note followed by an additional order
for 50 more on 3/10/09). Shirts should be ready by March 20, 2009. These are chili
cook-off/FRAlics 2009 shirts. @5 sponsors and P17500 collected so far
e.        P1500 to sponsor an event.
f.        Invitation letter to the mayor completed. President Steakley to deliver.
g.        Golf tournament letter to NETC base commander: Phillips to do.
h.        Raffle tickets: we need to do a better job of selling them this year. Raffle
tickets printing done.
i.        Steamers, banners, SOE and flyers completed.
j.        Subic Blue book: FRAlics ad should be included (have not seen it yet to
confirm).
k.        Beauty contest: Nancy Mallori and Carmen Hendricks to run
i.        Need to solicit local (San Antonio area) contestants
ii.        Lady Moore to donate a crown
iii.        Need sashes
iv.        Suggest three bouquets of flowers be purchased and presented by
volunteers.
v.        Prizes: P5000/3000/1500 1st/2nd/3rd
l.        Darts: Jemma Tubat and Butch Echivere to run
i.        Open, blind draw, mixed doubles
ii.        “Open” to all contestants expats and FNs. Last year was ex-pats only (this
was done to keep the “professional” ringers out.
iii.        Butch to loan dart boards and stands
iv.        Butch also to solicit local players.
m.        Horse shoes: Larry Callahan to run. No other update
n.        Golf: Phillips is on track. Shipmate Miller in Las Vegas to sponsor one of the
holes.
o.        Volleyball: Richard from Johansson’s to run. No other update.
p.        Chili cook-off: “A Family Affair” Alaska Bob and John Kelly are fully on track.
Looks like getting 15 teams will not be a problem; 11 teams committed thus far.
Trophies (similar to the one we won at the Australia Day Curry Cook-off) have been
ordered. Total cost is P6000: Doug Errington donating P3000, Alaska Bob donating
P1500 and FRA to pay P1500. NOTE: Both Alaska Bob and Doug Errington (Australian)
are associate members. Need to run power to the trees where the cook-off tents
will be located. Three of the four/five judges selected.
q.        Pool: Dennis Doty running and is on track.
r.        Children’s dart balloon toss: local Cooties Pup Tent to host
s.        Snow Cones: Children’s and adult: Cooties to do.
t.        FRAlics 2009 Supporter badges: 100 have been ordered.
u.        Tents, tables, chairs, etc.: letters drafted to San Miguel, Asia Brewery, Coca
Cola and Pepsi Cola requesting a loan of booth tents have been drafted and are
ready for delivery. Canteen Manager Moran will handle getting extra tables and
chairs. Big tents will be borrowed from VFW11447; Brady to pick up in his truck
v.        Raffles:
i.        Door prize raffles twice a day at 1100 and 1400-ish (must be present to win)
ii.        50/50 raffles: drawing at 1630 daily (do not need to be present to win)
iii.        Grand raffle on Sunday at approx 1630 (do not need to be present).
w.        FRA sales booth will be near the window on the south side of the building
x.        Music: John Kelly will provide along with what we already have
y.        Stage: to be constructed mid-March. Still need to purchase some 3/4in
plywood sheets.
z.        Wall ads: pretty well done. Shipmate Mishenko has done an excellent job
selling wall ad space which has pretty well given the building, inside and outside
wall a very nice freshening up.
aa.        Parking: across street at Bigfoot OK as well as along the road.
bb.        Watering hoes outside: will set up three in convenient places. Moran to sell
tickets as drink chits which will make payment easier (lesson learned from last year).
cc.        Booths:
i.        No charge
ii.        New York Joe to sell hotdogs
iii.        Schwarma will probably be a non-starter
dd.        Trivial Pursuit: Shipmate Sully to do on Sunday, April 4, 2009.
ee.        Signs:
i.        Parking

ff.        Shipmate treasurer Moore to donate a bicycle with side cart to raffle off.

gg.        Hawaiian John to donate plants to raffle off but we need to come up with
pots.

2.        2009-2010 branch officer nominations at the GMM on Friday March 6, 2009.
Elections in April; installation in May.
3.        Hawaiian John donated plants to help beautify the outside areas.
4.        Shipmate Sully donated a grafted Hawaiian Mango tree and has offered to
donate an avocado tree.
5.        Web page: need to pay ($35.00/qtr).
6.        LAFRA new kubo (10x18ft) to be delivered 3/15/09. Ladies got a good deal at
P18.000.
7.        Property tax paid and will be deducted from March rent.


8.        Need more US$ at RAO for our stamp fund; Moore to take care of.
9.        Still need a Mayor’s Permit. Steakley to check with former vice-mayor Butch
Echivere on this.
