Minutes: FRAlics 2009 and president turn-over meeting April 25, 2009.

The meeting was called to order by President Steakley at 1017.  

Present: Steakley, Phillips (In-coming president), Alvarez (in-coming VP), Simms,
Mishenko, Moore, Hazlewood, associate life member “Alaska” Bob Perizzo, Deli Mike,
canteen manager Moran and Ladies Gracie, Rogers, Mishenko, Steakley, Harris.

1.        Turn-over inventory is complete with nothing missing. FRA camera needs to be
added to the official inventory. Deli scales and new ice cream freezer added to inventory
2.         Questions on “Quarterdeck” name being turned in since it appears the Brady’s will
no longer be involved with FRA business activities. Need to speak with Lady Linda Brady
on this (the three business licenses are in her name)
3.        The business accountant has not shown up at the FRA for at least a month.
Questions on whether she is doing what she says she is (employees enrolled in SSS and
Philhealth) and whether she has paid the business BIR tax.
4.        Wall ads: P17,700 turned by Mishenko to Simms. Fiesta Garden, RSL Subic,
Australian Maritime Union, and Bar Barretto have not paid yet.
5.        FRAlics 2009
a.        P39,780 turned in to treasurer by Steakley (money from raffle tickets, 50/50 and
FRAlics supporter badges).
b.        264 raffle ticket books were sold (400 were ordered). We could have done a better
job of selling them. Steakley recommends a FRAlics raffle ticket czar for next year—put
one person in charge of it.
c.        Largest single expense was the wood for the stage. Suggestion on preserving the
wood to keep the stage up as long as possible for future use or, at least, save the wood
for re-use.
6.        Deli discussion: deli not making enough money to support itself. This will be re-
visited after installation of officers. If deli folds, shipmate Moore will buy the meat grinder
and slicer.
7.        Audits: treasurer Moore will do the business side audits.
8.        Web site host paid until June 7, 2009. Steakley will no longer be the web master.
9.        Insurance paperwork handed over to the secretary from Steakley. Secretary to
make copies and keep the copies at the FRA and the originals in his personal safe at
home.
10.        Membership: a bunch of new members (regular and associate) signed up during
the FRAlics including four new life members.
11.        Canteen manager Moran announced that the electric bill went up considerably
this past month (AFTER the new electric meter was installed). Will closely check next
month’s bill.
12.        Owe $200 to VFW11447 for the FRA Branch 367 full page ad in the Pacific
department convention magazine. This will be paid and artwork submitted after the BOD
meeting on April 29, 2009.
13.        Incoming president wants a FRAlics 2009 financial report for the next GMM.
14.        Secretary’s suggestion for the business enterprise:
a.        Consolidate the bar, restaurant and deli under a single manager. Current manager
fields all complaints for the kitchen but has no direct charge over the kitchen. Current
manager also fields complaints on the deli but has no control over the deli. Also,
customers have no direct input into the kitchen. As far as practical, the customers should
dictate what is on the menu. Recent menu changes have only made things worse (smaller
selection) and prices should be on a par with similar restaurants in Barretto.
b.        Have enough employees each day to cover the bar, kitchen, deli, ice cream sales,
clean-up and maintenance. Maybe Roger and Mike can split the maintenance issues.
c.        FRA take over the kitchen. The kitchen appears to not make any money for the
LAFRA. The LAFRA can host fund-raisers to raise money. Very few LAFRA eat at the FRA
but FRA members and associate members eat there every day. In short, ex-pats are the
customers so an ex-pat should manage the kitchen or at least have control over the
kitchen operations.
d.        Keep the deli but we do not need a “full-time” deli employee. Need to work out
meat order and pick-ups as well as potential smoking and ground meat efforts. Advertise,
but ensure a quality range of products that we can personally recommend and
aggressively solicit feedback. We have a small customer base.
e.        Keep all “full-time” employees but we need to streamline overhead. The bar makes
money, the kitchen and deli do not. Put Bill Moran as the manager in charge of all and pay
him a stipend that is fair.
f.        I have no idea what to do about the business licensing challenges.
